Our Client an Architects based in W1 require a Perm PART TIME ADMINISTRATOR to Provide an efficient administration service to support the architectural team in London by performing a number of secretarial, administration, and receptionist duties
Duties: • Deal with all aspects of the post – collection of incoming mail, date stamping, -distribution, purchasing stamps, sorting and stamping outgoing mail • Check and sign off invoices as requested by accounts • Liaise with accounts manager to log petty cash receipts • Do filing for the teams – project related and general • Organise and book CPD events • Source and book couriers • Answer telephone, intercom and greet visitors • Order stationery and ensure necessary items are always in stock • Purchase food and drink supplies for office – water for coolers, milk, tea and coffee • Handle recycling for the office – emptying of bags and arranging collections • Scan images for database • Collate and bind documents • Organise and file emails for projects • Arrange meetings, organise lunches and provide refreshments for meetings • Type letters, reports, schedules etc. • Print documents and presentation material • Update the product library • Issue lists for drawing packages • Assist staff with keeping documentation up-to-date on projects to comply with the Intergrated Management System • All administrative roles in the company include elements of corporate administration which vary from time to time but may include organising in-house events, ordering taxis etc.
Skills and Experience a) Ability to organise own work efficiently b) Sound experience in Microsoft Office packages and accurate typing skills c) Pleasant telephone manner – courteous, cheerful d) Good communication skills e) Some office based administrative experience
